o Effective Date: June 1, 2022
• Broad Statement of Responsibilities:
o St. Michael Church is seeking to fill the position of Offertory Administrator. This position averages 8-14 hours per week depending on the collection season/special events occuring. This position coordinates volunteers and works side by side with them, counting and inputting the weekly offertory. We are looking for someone who is willing to take this ministry in a Christ-like professional manner, support our pastor and who will function as an enthusiastic member of our parish team. Familiarity with Catholic parish life and operations would be valuable.
• Specific Duties:
o Weekly offertory collection needs to be calculated, recorded, and deposited (Collection is calculated with the assistance of volunteers, that is overseen and coordinated by offertory administrator)
o Complete Electronic Fund Transfers (EFT) weekly
o Prepare and distribute annual giving statements in a timely manner that aligns with the IRS standards
o Maintain most up to date parishioner files in our database and report this information to the Dioceses and Cathedral Corporation on a regular basis
Birth, deaths, marriage, change of address, new parishioners, and/or parishioners that are leaving the parish
o Create a Welcome packet/brochure that captures the preferred communication method, bulletin media preference, along with their preferred giving method (online giving vs. traditional envelopes)
o Maintain and manages annual CSA Collection.
o Attend Diocesan CSA training as needed.
o Maintain and manages parishioner birthday labels
o Support for the annual St. Michael’s School Alleluia Auction
o Other Duties as required
• Supervisory Responsibilities:
o This person has limited supervisory responsibility. The offertory administrator must coordinate with and work closely with part time personnel and volunteers who are an intricate part of the parish operation.
• Knowledge, Skills, and Abilities
o Computer Skills: proficiency in Microsoft Office, specifically Excel, Word, and PowerPoint as well as being comfortable with the internet, and email.
o Organizational Skills: ability to keep accurate records
o Confidentiality: commitment to keep various information confidential.
o Customer Service: applicant is required to answer questions via phone, in-person, and/or email in a Christ-like, friendly and welcoming manner.
o Self-starter: applicant works alone and must be self-motivated to complete tasks without close follow through.
o Interpersonal Skills: applicant must work with the pastor, parish staff, various parish committee members as well as members of the larger Church, e.g., the diocese and deanery, in a Christ-like, friendly and welcoming manner
o Criminal background check and credit report are required.
